Booking conditions

Booking Terms & Conditions


All bookings accepted by us are subject to these terms and conditions and binding on all persons stated on the booking form. Each booking will be confirmed by the owner, as soon as possible after receiving the booking form and deposit and only on receipt of this confirmation by you will the booking be treated as confirmed. Once the owners have confirmed the booking to you and you have paid a deposit, the named person on the booking form will be responsible for the total rental price of the property if the full balance of the rental cost is not paid as in accordance with these booking conditions, we reserve the right to cancel your booking. In these circumstances your reservation deposit will be forfeited.


Guests should complete the booking form and forward it with a cheque made payable to R Coffey for GBP £250 or US $350 being your non refundable deposit. The balance is due 8 weeks prior to your arrival date at the home. Bookings made within 8 weeks of arrival are payable in full at the time of booking.

Rental Property Protection Fee

The sending of the booking form confirms your acceptance to pay for any damage of any kind caused by your occupancy of the property. In the event of any excess damage of any kind, excessive cleaning costs by our agents of excessive use of electricity (caused by leaving external doors open with the air conditioning on) the named person on the booking form will be held responsible for all additional costs. An optional rental property protection insurance cover is available which covers up to $1,000 of non malicious damages which may occur during a guests stay. The cost of this cover is £30 or US $50.


Providing the owners receive written notice of cancellation not less than 8 weeks prior to the arrival date at the home, the signatory will not be liable to pay the full balance. It is the responsibility of the signatory to ensure that the signed cancellation letter or E-mail reaches the owner. The reservation deposit will be forfeited. If the cancellation is received after 8, but not less than 4 weeks prior to the start of the holiday, then the signatory is liable to pay 50% of the total rental costs. If the cancellation is received after 4 weeks prior to the start of the holiday the signatory is liable to pay the full balance of the final invoice.

The owners reserve the right to cancel any bookings providing written notice is given and any balance paid refunded. In the unlikely event that circumstances beyond our control, necessitate cancellation of the booking, we will refund any monies paid to the party leader. (Without interest, compensation or consequential loss of any kind).


All persons stated on the booking form are responsible for the care of the property and are expected to report all breakages, accidents or losses to the management company as soon as possible. The guest agrees to pay any costs in respect of any breakages, losses or damages to the property which are not covered by the Rental Property Protection Fee or are in excess of $1,000 limit. It is the guest’s responsibility to notify the management company immediately of any sudden equipment failure so that reasonable action can be taken to rectify the situation.

Party Size

Everyone occupying the property must be listed on the booking form, including small children. This is Florida State law and must be adhered to. The accommodations cannot be shared or sub-let and only the persons shown on the booking form are permitted to stay in the property. No pets are permitted. Persons under 21 years of age are not acceptable unless accompanied by parents or responsible adults. The property is fully licensed for short term rentals in Florida . The owners reserve the right to refuse admittance if this condition is not met. Failure to comply will render the booking void and no compensation will be paid. Full occupancy of “Florida Breeze” and “Florida Escape/Florida Lakes” are limited to 16 and 10 persons respectively.


For the safety and comfort of all our guests, smoking is not permitted within the property. Smokers may do so in the pool/patio area as long as they exercise caution and dispose of their butts sensibly.


No pets are allowed in the home.


The owners and the management company of the property accept no responsibility whatsoever for death, personal injury, accidents, loss or damage to persons or personal belongings however caused. The use of all accommodations and amenities including the pool is entirely at the user’s own risk. Children must be supervised by responsible adults at all times when using the pool. Glass or crockery is not permitted within the pool area. The owners or management company cannot accept any liability for any loss of rental time due to travel problem, flight delays or cancellations, industrial disputes or any events outside our control, including any form of Force Majeure. The owners and the management company cannot accept responsibility for the sudden failure of villa equipment but will take immediate reasonable action to rectify any such failure upon notification by the guests. If the pool heater cannot reach optimum temperature due to adverse cold weather conditions the management company cannot accept liability.

Arrivals and departures

The villa will be available for occupancy from 5pm on the date of arrival and must be vacated by 10am (prompt) on the day of departure, unless otherwise agreed. Failure to comply with this may result in extra rental charges which the guest agrees to pay. For an additional charge, it may be possible to arrange check in from 9am and a late check out up until 5pm . Please note, that this option is only available when there are no guests check out/in on the day of your arrival and departure respectively.


We strongly recommend that all members of the party are covered by travel insurance which carries adequate protection against delays and cancellations and has adequate medical insurance for the USA and for your luggage and personal belongings.

Force Majeure

As with any other holiday, there maybe circumstances completely beyond our control and contemplation, in which the property might not be available for your booking. Examples of these circumstances include (but are not limited to ) destruction of or severe damage to the property. Such circumstances are referred to as Force Majeure. In the event of Force Majeure the owners will do their best to make alternative arrangements for you where possible. If they cannot, or if the alternative arrangements are not acceptable to you, then they will refund all monies paid. This will be the full extent of the owner’s liability to you in such circumstances, and they shall not be responsible for any other costs connected with any such cancellation, howsoever arising.

Owners Access

The owners or their management company shall be allowed access at any reasonable time during your stay.


A desktop computer is provided with internet access for the convenience of the guests. Settings on the computer must not be altered – doing so may result in the computer engineer being called and the call out cost will be deducted from the security deposit. The computer must not be used to download illegal material.

Code of Conduct

It is a condition of the rental that you should be considerate in your behaviour and keep noise levels to a reasonable level so as not to interfere with the enjoyment of either other holidaymaker's or the residents of Emerald Island. Late evening or early morning disturbances will not be tolerated. Quiet hours are 10pm to 7am.

Pool and Spa

The pool and spa are cleaned and chemically balanced every week for your safety and comfort. However, on rare occasions it may be necessary to apply extra chemicals to the pool and spa. Should this occur during your stay, it will be necessary for you to be out of the pool for a period of 12-24 hours for safety reasons.

For an additional fee the pool and spa can be heated during your stay. Pool heating is switched on on the day ordered and may take some time to heat the pool to optimum temperature.

Guests may use the pool and spa at their own risk. They should always observe the safety rules listed on the notice displayed in the pool area. The pool is NOT to be used by children without adult supervision.


We hope that you do not have any!….But in the unlikely event that you wish to register a complaint during your holiday, contact the property management company immediately so that remedial action may be taken. Details of how to contact the Management company can be found in the villa.


Please obey all parking signs within the community. Parking is confined to the driveway and street. Parking on lawns is strictly prohibited. Lawn damage is expensive to fix. The underground irrigation system is even more expensive to fix. You will be held responsible for these costs and may incur a parking citation from the Osceola County Sheriff Department.
